The Project Administrator – Capital Projects supports the planning and execution of capital projects across the company’s student housing and multifamily portfolio. Combining field oversight with strong project administration, this role supports the VP of Capital Projects in ensuring work is completed to a high standard—on time, within scope, and on budget.

The Project Administrator – Capital Projects supports the planning and execution of capital projects across the company’s student housing and multifamily portfolio. Combining field oversight with strong project administration, this role supports the VP of Capital Projects in ensuring work is completed to a high standard—on time, within scope, and on budget.
Key Responsibilities
- Manage day-to-day execution of assigned capital projects, including coordinating design, securing permits, scheduling work, and ensuring clear communication between all parties.
- Assist in developing project budgets, managing the bid process, evaluating vendor proposals, and tracking change orders for approval.
- Maintain detailed budget and schedule tracking tools to provide accurate and timely reporting to leadership.
- Coordinate with accounting and project teams to track and reconcile project expenditures
- Deliver regular updates on project progress, highlighting key risks, delays, or cost impacts, and propose mitigation strategies.
- Collaborate with UP Operations, Asset Management, and Elevate teams to resolve on-site issues and keep projects on track.
- Oversee project closeout activities, including final inspections, punch list completion, and compiling all required documentation.
- Support the underwriting of redevelopment and value-add initiatives by gathering cost estimates, timelines, and scope details.
- Prepare investment memos and supporting materials for leadership and investment committee review.
- Build and refine financial models to assess project feasibility, returns, and budget alignment.
- Gather and verify financial data, contractor pricing, lease obligations, and required regulatory approvals.
- Maintain up-to-date project pipeline reports and quarterly capital spend forecasts for leadership review.
- Track actual project performance against approved budgets, schedules, and ROI targets, identifying opportunities for process and cost improvements.
Qualifications
- 3–5 years of experience in capital project management, construction, or real estate development.
- Strong organizational and communication skills.
- Proficiency in Excel, project management software, and financial modeling.
- Ability to travel as needed and work independently in the field.
- Experience working cross-functionally with operations, asset management, and transactions teams.
- Bachelor’s degree in Accounting, Finance, or a related field preferred; equivalent relevant experience will be considered.
